Making videos is hard enough. Trying to post them everywhere—YouTube, Meta, Instagram, podcasts, blogs—can feel like a full-time job.
That’s why we follow a simple system that helps us batch, repurpose, and publish without overthinking it.
This is our video creation SOP.
It keeps us focused, fast, and consistent.
In this guide, you’ll see:
- How we knock out 6–8 videos in one shoot
- How we turn each video into versions for YouTube, Meta, Instagram, and podcasts
- How we make custom thumbnails and descriptions without wasting time
- A step-by-step checklist so nothing slips through the cracks
It’s not fancy. It’s not complicated. It works.
🎯 Why We Use This System
We don’t have time to reinvent the wheel every time we make a video. This system helps us stay on track, make the most of our videos, and post them everywhere people watch or listen.
- Purpose: Make videos once, use them everywhere
- Audience: [insert your target audience here]
- Goal: Get the most out of every video
- Focus: Batch work, smart edits, and scheduled posts
🎬 Step 1: Record the Videos
We start with recording. The key here is to batch. If we set up once, we want to get as many videos as possible in the can before tearing down the gear.
- Setup: Green screen, lights, camera, mic
- Record: 6–8 videos in one session
- Output: Raw video files
✂️ Step 2: Edit the Videos
Once the videos are shot, we move into editing. We keep the edits clean, fast, and consistent, using the same color grade and background for each batch.
- Import: Bring videos into Adobe Premiere
- Check: Look for mistakes and fix (about 10%)
- Edit: Zoom cuts, basic cleanup
- Color: Use Lumetri to color grade
- Keying: Remove green screen and add background
- Output: Final edited video
📺 Step 3: Make Platform Versions
One video, many versions. We adjust the video slightly for each platform so it fits their audience and style.
- Meta & Instagram: Export video without promo ending
- YouTube: Add short promo (pitch + slate), then export
- Podcast: Export audio only, add intro/outro, smooth the transitions
Outputs: Meta & Instagram video, YouTube video, Podcast MP3
🖼 Step 4: Make Thumbnails
Thumbnails matter. We use Snappa to make quick, clean thumbnails for YouTube and Meta. These help videos stand out in the feed.
- Tool: Use Snappa
- What: Thumbnails for YouTube, Meta, Instagram
- Output: Ready-to-upload graphics
📝 Step 5: Transcript & Text Content
Once the videos are edited, we pull transcripts. This gives us the base for all the text content we’ll need: video descriptions, podcast summaries, blog posts, and more.
- Export Transcript: From Premiere or a transcription tool
- Clean It: Remove filler, timecodes, and mistakes
- Polish: Light proofreading
- Use ChatGPT: Generate YouTube description, podcast summary, and a blog post from the transcript
🚀 Step 6: Publish & Schedule
Now we post. We upload, add titles, thumbnails, descriptions, and set them to go live on the right dates. This keeps our channels full without daily stress.
- YouTube: Upload video, add thumbnail, SEO title/description/tags, and schedule
- Meta & Instagram: Upload video, add thumbnail and caption, schedule it
- Podcast: Upload MP3 and description, schedule it
- Blog: Use cleaned-up transcript, embed YouTube video, and schedule the post
⚙️ Automate or Outsource
We don’t have to do it all ourselves. Some steps can be outsourced, and some can be automated to save time and brainpower.
- Editing: Outsource keying and color grading
- Thumbnails: Use templates or outsource
- Transcripts: Use AI to clean up
- Text Content: Use ChatGPT to create fast drafts
- Publishing: Use tools like Buffer or Hootsuite
